Our post-docs have to go through certain administrative procedures when they join. We have a few tips for them to get settled in fast. Some more resources that will make their stay here productive and enjoyable are listed here.

Joining Procedures

Those that have been selected for a postdoctoral position are sent an offer letter by the HR department (previously known as “Unit 1A”). Candidates are expected to acknowledge the letter and convey their decision on the offer, and where applicable, the prospective joining date to the department Chair and prospective guide as soon as possible. In case the candidate initially needs accommodation on campus temporarily, they may inform at this stage – paid accommodation is available. Considering the current Covid situation, guidelines as to entry into campus should be read and understood, and any additional documents need to be furnished. An “Authorization Letter” would be provided by the department to enable entry into campus.

Once the candidate joins duty, the advisor is to send an email to Ms. Mangala and the department Chair, confirming that the candidate has joined. Based on this mail, a “Duty Joining Report” is prepared by the department, which shall be sent to the HR department. Candidate may collect a copy of it from Mrs. Banu. Creation of an IISc email ID would be initiated by Ms. Mangala at this stage – an excel sheet containing the candidate’s details needs to be filled and sent to “Email Support” *.

Submit bank account details at the HR department for salary. Candidates may submit the details of any account that they have access to – it is not necessary to have an account on campus, although this might be easier and helpful. For Institute of Eminence (IoE) Fellowshipǂ, if candidate wishes to claim House Rent Allowance (HRA), they must provide proof of residence outside campus. Electricity bills and telephone bills in the candidate’s name is valid proof. In case the candidate is new to the city and has a rented accommodation, rental agreement may be provided.

Candidates must undertake a medical examination at the campus Health Centre. The candidate’s height, weight and vision are checked. During the Covid pandemic, the candidate will be questioned for any symptoms of Covid. Post the check-up, an acknowledgement is given, which should be presented at the HR department. Detailed report of medical examination shall be sent to HR department directly by the Health Centre. Due to the ongoing pandemic, candidates may have to spend time waiting, please be patient and keep aside half a day for medical examination.

Submission of acknowledgement for medical examination completes the joining formalities. A “Memo” is then created for the candidate; It contains a “Personnel No.” – an identification number for the candidate.

The bank details, proof of accommodation (for HRA), a HRA Certificate§ and a copy of the memo must be submitted to Ms. Lakshmi N at Finance and Accounts (F&A). Soft copies may be submitted.

Completion of joining process would take between one week and 10 days.

Postdoctoral Fellows must send a request letter to F&A every month during their employment for release of fellowship. An email may be sent to Ms. Chinnamma B at the Mechanical Engineering office, requesting her to provide the fellowship release letter. Candidates must mention their name, the fellowship under which they are employed, advisor’s name and joining date to Ms. Chinnamma. This letter must be submitted to Ms. Lakshmi N on or before the 26th of every month, and latest by 28th for salary to be released.

 

* Please note that this email has an initial validity of 4 months from date of request for creation. Once the joining formalities are complete, candidate should mail Email Support the scanned copy of letter(s) containing joining date and period of employment. Upon receiving this, the email validity will be accordingly increased. The DIGITS team sends a reminder a month before the email expires, in case they do not receive these documents.

ǂ HRA is not provided in the case of Raman Fellowships.

§HRA Certificate: A letter the candidate must write requesting HRA, stating that they are staying outside campus and that necessary proof is attached. It must be signed and forwarded by the advisor.
